Reports and documents often require logos, images, phrases, text or comments that are specific to a single client or company.

In the past, inside Qvinci, this was done by using Save As to make a copy of the report or document and then editing it to include the changes. This approach resulted in large numbers of copies accumulating in your Libraries.

With customer defined Lookups – a brand new Qvinci capability – you can now create reusable templates where Lookup Names are replaced with account or client-specific values when the PDF report package is downloaded. This eliminates the need to use Save As to make all those client-specific copies.

To get started, your Account Administrator defines your account’s lookup names via Account Lookups which is found under Libraries in the left navigation panel (see Fig. 1):

Then, on the Account Lookups page, your admin defines the Lookup Names for your organization. For example, if you’re an accountant, you might want your own logo to be the Account Logo and the Client Logo, Client City and Client State to be filled in at the client or company level (see Fig. 2):

Now that your Account Administrator has defined your Lookup Names and default values, you’re ready to define any Overrides for specific clients or companies. To do this, click on Client Lookups in the left navigation panel (Fig. 3):

Next, on the Client Lookup Overrides page, your managers may now define the overrides to use when running reports. Be sure to select the client or company context at the top of the left navigation panel before making changes. For example, in Fig. 4, the Manager has set the Client Logo Lookup Override Value for the client 121616 Enterprise as well as its City and State.

To include Lookups in a document or report, simply put the Lookup Name in the report surrounded by two curly brackets, for example {{Account Logo}} or {{Client City}}. Fig. 5 (below) is an example of a template for a cover page using the Lookup Names and Lookup Values shown above in Fig. 4:

Lookup Names and Values are used in Reports in the same manner by including the Lookup Name wrapped in double curly brackets, with the exception that images cannot be included in Reports.
