What Is the Accounts Macro?

In the hi-tech world, a macro is a single instruction that expands automatically into a set of instructions to perform a particular task. This month, I’m going to focus on the Accounts Macro because it’s the most important when it comes to creating dynamic templates.

The purpose of the Accounts Macro is to allow admins to build reports in Qvinci that can be utilized across many entities, whether those entities exist under the same Client or not. It also allows for dynamic updating of the chart of accounts when a specific Client is being reported on, or even a specific Entity with a Client.

This means accountants can now create standard reporting templates that update automatically with a specific client’s chart of accounts and financial reporting data. This drastically reduces the amount of effort needed to produce compilation reports across many clients to a minimum thus saving your firm time and money where reporting tasks are involved.

Why Use the Accounts Macro?

The Accounts Macro is used to dynamically fill accounts in a section of a report and all accounts added will take on the style of the macro. This macro is particularly valuable in any situation where the chart of accounts might change on a particular template when run. Examples:

  • Accounts are added, removed or changed between running the template
  • Building the template based on one Client and then using it for other Clients
  • Sharing a template
  • Changing filters
  • Changing report options

Ideally, the only time a user would not want to use the Accounts Macro is if they are specifically reporting on particular accounts in a report and have no need for dynamic updating of the chart of accounts.

How to use the Accounts Macro

The Accounts Macro replaces the chart of accounts inside a section. In the example below, we see that the Accounts Macro replaces the Income chart of accounts so that this template dynamically fills in all income accounts when this template is run on a Client.

The Accounts Macro is formatted as %%accounts%%

  • All accounts that populate from the Accounts Macro will take on the style and format of the %%accounts%% macro line
  • The %%accounts%% macro must be contained within a section (between a header and total section) and must be the last row above the total line
  • Other rows can appear above the %%accounts%% macro and still work
  • If the row above the %%accounts%% macro is an account that contains financial data for the date range selected (i.e. is not a header account), then the %%accounts%% macro will not re-add the account in the dynamic population of the chart of accounts below the macro
